The Office of Compliance supports youth camps, events, workshops, and clinics involving participants under the age of 18. Through the Office of Compliance, program directors receive the guidance, training, and resources needed to safely operate programs and comply with university requirements. Before hosting a youth program at SFA, review the registration deadline and approval requirements below to ensure your program meets all youth protection standards.
Youth Program Requirements
All youth programs, camps, events, workshops, and clinics involving participants under the age of 18, must comply with SFA youth protection requirements unless specifically except under HOP policy 05-503.
| Important: Programs must be registered with the Office of Compliance at least 30 days before registration opens for participants. Failure to register by the required deadline may result in the program being denied approve to operate at SFA. |
Program Requirements Checklist:
Youth Program Directors must ensure the following requirements are completed prior to program operations:
Register the program through the Youth Protection Portal at least 30 days before the anticipated date participation registration opens.
Custodial care status will be reviewed and determined by The Office of Compliance.
Required Child Protection Training must be completed by all designated individuals within the previous two (2) years. This is now managed through Ideal-Logic.
Background checks must be completed and successfully cleared for all designated individuals within the previous twelve (12) months.
Compliance with SFA policies is required for all youth programs and activities.
Submit an Emergency and Communication Plan in the Ideal-Logic Youth Protection Portal, including information specific tothe program or camp.
Obtain liability insurance through the Univeristy of Texas System Office of Risk Management and upload a valid Certificate of Insurance (COI) to the Ideal-Logic Youth Protection Portal. For third-party programs, coverage must be comparable to the coverage provided through the UT System Camp Insurance Program.
Maintain required supervision ratios and ensure minimum requirements for all minors are met throughout the program.
